A message from the Pro-Vice-Chancellor for Teaching to centres

Dear Deans, EPS director and CEP director,

As you know, the Executive Council passed teaching guidelines for this period of suspended face-to-face classes due to the state of emergency. These action guidelines were specified on 18th March and subject to the evolution of the COVID-19 outbreak. As agreed, I specify below the action to take regarding teaching activities:

- Teaching activity. Until the state of emergency is lifted and students may return to classrooms, remote teaching will be provided as far as is possible, using the tools available at the University of the Balearic Islands for the entire academic community at <campusdigital.uib.cat>. All changes (methodology, assessment, timing) due to these exceptional circumstances should be coordinated with the heads of studies for each degree programme or with the directors for masters, and students should be notified via Aula digital.

- Attended mid-term exams/tests for theory classes. For undergraduate degrees, the tests must be converted to remote exams (multiple choice, orals, etc.) or be replaced by other assessment activities, always in coordination with the head of studies. Students shall be informed over Aula digital for each subject.

- Complementary and extraordinary assessment periods. The complementary and extraordinary assessment dates remain in place. Depending on the evolution of the current situation, they may be pushed back to later dates.

- Lab practicals and field trips. Those that could not be replaced by remote teaching shall be rescheduled when possible, preferably in July and, where applicable, September. This rescheduling may mean they need to be done as intensives and some of the proposed practicals may need to be eliminated.

- External placements. As a general rule, these cannot be replaced by remote teaching and, therefore, shall be reschedule whenever attendance is possible at companies or institutions during the months of June, July, August and September. This rescheduling may mean the number of hours on the training plan is cut and some students may need to be placed at other companies due to the possible consequences from the COVID-19 outbreak.

With regard to external attended placements that cannot be rescheduled for the June-September period, centres shall establish a teaching and assessment adaptation procedure, always in coordination with the Office of the Pro-Vice-Chancellor for Teaching.

- TFG and TFM. Final degree projects and master's theses that can be done remotely (theory/bibliographic) and those that have been modified to theory and bibliographic works will continue through the online writing/tutoring process.

Lab and field work that has been suspended may be restarted when students are able to return to university facilities.

In any event, centres may maintain or modify the submission deadlines and viva dates. Students must be notified about the new dates sufficiently in advance.
Viva defences for the work shall be done face-to-face where the health authorities allow it, or online otherwise.

In all instances, the academic calendar will need to be changed, where applicable, by extending the final mark deadlines for lab practicals, external placements, final degree projects and master's theses.

On 25th March, the Ministry of Education and Vocational Training, and the Ministry of Universities postposed the PBAU entrance exams and set a timeframe between 22nd June and 10th July for the ordinary session, and up to 10th September for resits. On 26th March, the Regional Department of Education, University and Research, and the University of the Balearic Islands, agreed to hold the ordinary PBAU session in the Balearic Islands between 7th and 9th July.

The dates for these sessions determine the start of the 2020-21 academic year, which will likely not start until 28th September.

During this time, it is very important to keep all activities coordinated and always bear in mind that we are in the throes of an ever-changing and unclear scenario. In this sense, I would like to express my appreciation for the collaboration and commitment shown by the teams of deans, the management of the EPS and the CEP, to assure the 2019-20 academic year is able to move forward.

The Office of Teaching Support (osd@uib.cat) and the Office of the Pro-Vice-Chancellor for Teaching are available to resolve any queries you may have as best we can, as well as to collect all suggestions you deem appropriate.

Best wishes,

Palma, 27th March 2020

Juan Frau
Pro-Vice-Chancellor for Teaching at the UIB
